Decimal hours
Payroll systems usually want decimal hours: 7 h 45 min is 7.75 hours (45 ÷ 60). The result shows both formats. If the end time is earlier than the start time, the shift is treated as running past midnight.
Worked example
A shift from 8:30 AM to 5:15 PM is 8 hours 45 minutes. Subtract a 30-minute unpaid lunch and the paid time is 8 hours 15 minutes, or 8.25 decimal hours. At $22 an hour that is $181.50.
Minutes to decimal hours
Divide minutes by 60: 6 min = 0.1 h, 15 min = 0.25 h, 30 min = 0.5 h, 45 min = 0.75 h. Under federal rules (29 CFR 785.48) employers may round clock times to the nearest 5, 6 or 15 minutes, as long as rounding averages out and does not always favour the employer.
Breaks
Short breaks of 5 to 20 minutes count as paid work time (29 CFR 785.18). Bona fide meal periods, usually 30 minutes or more when you are fully relieved of duties, can be unpaid (29 CFR 785.19). Enter only unpaid breaks in the break field.
